UAE e-invoicing: start by organising your data

When e-invoicing is discussed, buying software may seem like the first step. In practice, clean business data and a clear invoicing process deserve attention before selecting a solution.
Is a PDF an e-invoice?
The FTA describes an e-invoice as structured data issued, exchanged and reported electronically. A PDF, image, scanned copy or email is not, by itself, an e-invoice in that sense.
Review customer and supplier records
Look for inconsistent names, duplicate records and information that cannot be connected to supporting documents. These issues can flow into invoices and reports, creating repeated correction work.
Assign responsibility for maintaining master data. A change to a customer's details should have a documented basis and an appropriate review rather than being an unexplained edit in a spreadsheet.
Map today's invoice journey
Write down how an agreed sale becomes an invoice, who approves it, how it reaches the customer and how payment is recorded. Mark the points where information is retyped or transferred between systems.
This exercise may reveal that the main problem is incomplete information reaching the invoice preparer, not the absence of a new application. Resolve those process gaps alongside any technical work.
Ask specific supplier questions
- How will the solution connect with the current workflow?
- What happens to rejected invoices and corrections?
- Which data must be completed before implementation?
- How can records be exported and retained?
Request written explanations instead of relying on a broad claim that a product is fully compliant. Clarify the implementation scope, support arrangements and responsibilities on both sides.
Test realistic scenarios
Prepare examples from your business: an ordinary invoice, a discount, a correction and a foreign-currency transaction if relevant. Check the result and who handles exceptions. One successful sample does not demonstrate that every business scenario is covered.
Confirm the official requirements
Review the Ministry of Finance portal and applicable decisions for the current scope, timetable and requirements. This readiness checklist helps organise preparation; it does not determine your company's mandatory implementation date or endorse a particular provider. Keep an implementation log so outstanding questions remain visible as the project progresses.
