Month-End Close Checklist for Business Owners

Month-end close is more than producing a report on the last day of the month. It is a series of checks that helps establish which information has been recorded and reviewed, and which unresolved items management still needs to understand.

Agree a document cut-off process

Set a date for submitting monthly records and name the person responsible for collecting them. Explain how late documents will be reviewed so reports do not change between versions without a reason.

A cut-off process does not mean ignoring a transaction that belongs to the period. It creates a defined way to assess late information and determine the appropriate treatment.

Complete sales and purchase information

Review invoices, relevant adjustments and receipts awaiting allocation. Compare operational records with the accounting entries, taking the nature of the business into account.

Where information is unavailable, record the gap in an outstanding-items list. A report with clearly explained limitations is more useful than one that appears complete while important records remain missing.

Review the main balances

  • Banks and cash, with appropriate reconciliations.
  • Customer and supplier balances, including old items.
  • Inventory and fixed assets where relevant.
  • Prepayments and accruals as applicable.

A service company and a trading business will not have identical close tasks. Tailor the checklist to actual transactions instead of following a generic template without considering its relevance.

Investigate meaningful changes

Compare results with the previous period or budget where available. Ask about unusual costs, declining revenue and significant balance movements. A change may be reasonable, but documenting the explanation makes the report easier to use.

Approve one version

Date the approved reports and retain a version reference. Record later amendments, their reasons, effects and reviewer. Management should be able to identify which figures supported a decision.

Give every task an owner

Assign a responsible person, due date and completion status. A small business can start with a straightforward spreadsheet and develop the process as activity grows. Consistent review and clear accountability matter more than a complicated template.
